Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education.
Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund (PPAF)seeks a Director of Management & Operations. This job reports to the National Director of Impact & Strategy in the Organizing & Electoral Campaigns Department of PPFA. The Impact & Strategy Team in the Organizing, Engagement & Campaigns Department is responsible for leading strategic goal-setting and impact evaluation of data-driven advocacy campaigns to advance reproductive rights, including electoral and non-electoral campaigns and programs. The Management & Operations Team, under Impact & Strategy, is responsible for providing strategic direction, budget and operational oversight, and management of the department’s operational needs.
Purpose: This position will provide strategic and operational direction and support to the Organizing and Electoral Campaign department at PPFA/PPAF/Votes, specifically around goal setting and reporting on qualitative and quantitative metrics, strategic budget planning and financial operations, managing high-stakes internal communications, contracts & grants management, and compliance and risk management. This position will supervise a manager-level position and lead a team of operations specialists. The ideal candidate is high-energy, thrives in a fast-paced work environment, learns quickly, can think on their feet, and works with a wide variety of people from different backgrounds, across different teams working toward different goals. Must be able to multitask between operations, advocacy, and personnel management and has the agility to lead during rapid response moments.
Delivery:
As a leader of the Impact & Strategy team, collaborate with the National Director of Impact & Strategy and Senior Director of Data, Analytics, and Research to annually lead strategic planning, goal setting, evaluation, and reporting across the department
Lead the development of systems to report progress to goal and tell the story of the team’s successes through various newsletters, grant reports, internal tracking documents, and other materials as needed to share with board members, funders, and organizational leadership.
Lead the development, tracking & evaluation, and execution of OEC’s departmental budget in addition to independent expenditure and coordinated electoral program budgets (Action Fund & PP Votes.)
Lead process creation and information gathering for Federal Election Commission reporting compliance across the division.
Lead quarterly meetings with the Foundations team and Finance to discuss OEC’s progress on grant spending, grant reporting, and grant proposals.
Create efficient reporting and communication structures to streamline partnerships with multiple teams and departments across the federation, including but not limited to the Office of the Senior Vice President of Policy, Advocacy & Campaigns, HR, Finance, Office of the General Counsel, and Facilities.
Create and lead the department’s onboarding and offboarding processes to ensure employee training compliance in conjunction with People, Culture & Equity.
Manage OEC’s large-scale logistical needs including the coordination of OEC’s engagement in national and/or Federation-wide initiatives such as conferences, training, and strategic planning retreats.
Supervise a team of operations managers and specialists, and manage a workflow that supports the reporting, operational, and financial work of the department.
Engagement:
Advise the Vice President of Organizing & Electoral Campaigns and National Directors on strategic decision-making, the department budget, operations matters, work planning, and department management.
Collaborate with cross-divisional leadership in creating strategic plans and shared aligned goals, reporting, operations & budget management.
Align, advise, and integrate OEC’s goals, strategies, budgets, and timelines with the Managing Director for Policy, Campaigns & Advocacy, and Communications & Culture divisions.
Design and strengthen processes to problem-solve operational challenges with teams within the department to ensure efficiency and compliance.
Knowledge, Skills, and Abilities (KSAs):
At least 8-10 years of financial management, operations and/or organizing experience.
Experience developing budgets and financial reports for complex organizations.
Finance and accounting experience, and experience with both 501(c)(3) and 501(c)(4) organizations a plus.
One to two cycles of electoral campaign experience or community or issue-based operations experience required.
Self-starter, resourceful, and proactive in problem-solving and designing solutions and new initiatives/
Commitment and track record of advancing racial equity and ability to integrate its frameworks across strategic, plans, budgets, and campaigns.
Top-notch attention to detail combined with a track record of organizing people to identify solutions and improve processes.
Ability to juggle multiple priorities at one time and prioritize accordingly.
Ability to communicate clearly with diverse stakeholders.
Dedication to managing and continuously improving operational systems for inter-departmental work.
Enjoys a fast-paced work environment.
