Assemble is a leading political and public affairs firm that partners with companies, coalitions, and associations across financial services, energy, sports and entertainment, technology, labor, and healthcare.

We are seeking an Associate Vice President to support stakeholder & political engagement operations for our Corporate & Issue Advocacy sector. This role is designed for a highly organized professional who excels at managing the logistics and execution of stakeholder & political engagement programs. The AVP will serve as the operational backbone of client stakeholder & political initiatives, coordinating meetings with policymakers and coalition partners, managing event calendars, organizing salon dinners and briefings, and ensuring seamless execution of engagement activities. They will maintain stakeholder databases and tracking systems, prepare briefing materials, coordinate travel logistics, and manage the day-to-day details that enable successful relationship-building efforts. The ideal candidate is exceptionally detail-oriented, anticipates needs before they arise, thrives on managing multiple moving parts simultaneously, and understands how to translate strategic stakeholder goals into flawless operational execution.

Responsibilities

Stakeholder & Political Engagement Operations

  • Schedule and coordinate meetings between clients and policymakers, regulators, coalition partners, industry leaders, and advocacy organizations.
  • Manage stakeholder & political engagement calendars, tracking upcoming opportunities and ensuring clients are prepared for key conversations.
  • Organize logistics for stakeholder events including salon dinners, roundtables, briefings, site visits, and coalition meetings.
  • Coordinate travel arrangements for client executives and stakeholder & political engagement activities.
  • Maintain stakeholder contact databases and relationship management systems with accurate, up-to-date information.
  • Track engagement activities, follow-up items, and relationship touchpoints to ensure consistent communication.

Event Planning & Execution

  • Plan and execute stakeholder events from concept to completion, including venue selection, catering, materials preparation, and day-of coordination.
  • Develop event agendas, seating arrangements, and run-of-show documents for stakeholder convenings.
  • Manage invitation lists, RSVPs, and attendee communications for client-hosted events.
  • Coordinate with vendors, venues, and service providers to ensure seamless event execution.
  • Prepare post-event summaries and follow-up materials for clients and attendees.

Materials Development & Meeting Preparation

  • Draft briefing documents, meeting agendas, and background materials for stakeholder & political engagements.
  • Prepare talking points, one-pagers, and leave-behind materials for client meetings with key stakeholders.
  • Develop stakeholder tracking reports showing engagement activity, meeting outcomes, and relationship status.
  • Create and maintain stakeholder mapping documents identifying key decision-makers and influencers.

Coalition & Partnership Coordination

  • Support coalition management activities including partner communications, meeting coordination, and materials distribution.
  • Coordinate working group meetings and calls with coalition partners and third-party organizations.
  • Track coalition partner commitments and activities to ensure aligned advocacy efforts.
  • Manage partnership agreements and coordinate logistics for joint stakeholder & political initiatives.

Client Support & Project Management

  • Serve as a reliable point of contact for clients on scheduling, logistics, and operational questions.
  • Manage project timelines and deliverables related to stakeholder & political engagement activities.
  • Anticipate client needs and proactively identify opportunities to streamline engagement operations.
  • Prepare status updates and activity reports for senior team members and clients.

Team Collaboration

  • Work closely with senior strategists to understand stakeholder & political engagement priorities and translate them into operational plans.
  • Partner with internal teams including creative, communications, and digital advocacy to ensure integrated campaign execution.
  • Support business development efforts by organizing materials and coordinating logistics for pitch meetings.

Qualifications

  • 5–7 years of professional experience in government affairs, public policy, event planning, executive operations, or related fields.
  • Demonstrated experience managing complex scheduling, event planning, and stakeholder coordination.
  • Strong organizational skills with exceptional attention to detail and ability to manage multiple priorities simultaneously.
  • Experience maintaining databases, tracking systems, and relationship management tools.
  • Excellent written communication skills with ability to draft professional correspondence and briefing materials.
  • Understanding of legislative and regulatory processes and comfort navigating political environments.
  • Proven ability to work independently, anticipate needs, and solve problems proactively.
  • Proficiency with project management tools, calendar systems, and stakeholder database platforms.
  • Diplomatic interpersonal skills with ability to interact professionally with senior executives, policymakers, and coalition partners.
  • Flexibility to accommodate last-minute scheduling changes, urgent travel arrangements, and time-sensitive stakeholder opportunities.
  • Comfort working in fast-paced environments where priorities can shift quickly based on client and stakeholder needs.

Compensation

Salary Range: $95,000-130,000

Location
