We are looking for an Executive Operations Associate to support our senior leadership and growing team by managing core administrative, scheduling, and operational tasks that keep the organization running smoothly. This role blends executive support responsibilities (like calendar management and travel coordination) with office management and some basic finance administration. It’s ideal for someone who is organized, detail-oriented, and energized by solving logistical puzzles and helping a high-functioning team do their best work.

While we don’t have a set schedule for days in the office and are flexible with remote work, this role will be expected to provide support to in-person staff in the New York City office, in addition to other responsibilities.
You will:
- Manage and optimize calendars for senior leaders, including scheduling internal and external meetings across multiple time zones.
- Coordinate travel arrangements, including flights, accommodations, ground transport, and itineraries.
- Support hiring logistics by scheduling interviews, coordinating candidate communications, and assisting with onboarding processes.
- Track and submit invoices and liaise with external accounting partners as needed.
- Oversee the execution of contracts and other documents via DocuSign, ensuring timely processing and follow-up.
- Handle basic office management and property needs, including NYC office maintenance, supply management, and vendor coordination.
- Serve as a go-to team resource for organizing team retreats, meetings, and occasional events.
- Help maintain internal organizational systems and documentation (e.g. Notion, Google Drive).
- Identify and implement process improvements to make operations more seamless and efficient.
Our ideal candidate likely:
- Has experience in operations, executive assistant, administrative, or office management setting.
- Is highly organized and able to manage many moving pieces with attention to detail and follow-through.
- Is proactive, trustworthy, and able to work with discretion on sensitive or confidential information.
- Is tech-savvy and comfortable learning new tools quickly (we use Google Workspace, Slack, Notion, Zoom, DocuSign, and more).
- Has experience managing calendars, scheduling meetings, and working with executives or high-level stakeholders.
- Has a basic understanding of finance operations (e.g. tracking expenses, processing invoices, coordinating with accounting).
- Has at least one cycle of experience with campaigns or similar political organizations.
- Enjoys helping others, improving processes, and contributing to a positive team culture.
- Is a kind person and a team player who contributes to a warm working environment.

The salary range for this position is $65,000 - $80,000 annually, commensurate with experience. Candidates must be authorized to work lawfully in the United States.
