The Executive Assistant to the Executive Office will be primarily responsible for managing the daily schedule of both the Executive Director and a Deputy Executive Director. Additionally, the Executive Assistant will be responsible for the travel needs and arrangements of said principals. This role is also responsible for ensuring that the principals have all necessary written materials for all appointments, meetings, and events. This role will work closely with the Operations Director of the Executive Office to ensure that all requests of the Executive Office’s time are reviewed, discussed, and responded to in a timely manner. This position will also be tasked with special projects related to the principals from time to time. When leading special projects, the Executive Assistant will be coordinating, executing, and communicating project priorities.

Responsibilities:

  • Manage an ever-evolving calendar, including vetting and prioritizing requests, and coordinating conference calls and meetings;
  • Ensure principals are adequately prepared for meetings, including briefing materials, memos, attendees bios, etc;
  • Mirror principals’ in-office schedule;
  • Arrange all travel logistics, including the production of itineraries and subsequent follow up with all entities on the schedule;
  • Ensure that various administrative tasks are performed in an effective and efficient manner, including copying, drafting correspondence, screening telephone calls as needed, and maintaining files as needed;
  • Tracks reimbursements and expenses on behalf of the principals;
  • Assist in compiling briefing materials for all trips, speeches, and meetings;
  • Creates and maintains cross-departmental relationships to enable leadership success;
  • Thinks ahead and plans long-term for the schedules and success of the principals;
  • Accepts and takes ownership of various special projects, adapting and adjusting throughout the day to efficiently switch and complete varied tasks;
  • Maintain a high degree of confidentiality regarding all matters and documents; be trusted with confidential information;
  • Other duties as assigned to support the department and the DNC’s mission.

Qualifications:

  • Enjoys a fast paced working environment, adapts quickly to shifting goals, and understands the sense of urgency;
  • Works well under pressure and handles stress with a sense of humor and grace;
  • Self-motivator with a proactive approach to traditional and unexpected assignments;
  • Communicates effectively with supervisors, managers and colleagues;
  • Works well independently and has a collaborative approach to priorities;
  • Excellent written and verbal communication skills; thoroughness, timeliness, and attention to
  • detail;
  • Proven ability to organize and manage multiple priorities and deadlines;
  • Strong interpersonal skills with the ability to work effectively with stakeholders at all levels;
  • Flexibility and recognition that winning campaigns often means working outside of traditional office hours

Requirements

  • Strong interest and experience in politics, coalition building, as well as core Democratic Party issues;
  • Comfortable working across multiple software platforms;
  • Based in or willing to move to Washington, DC
The starting salary for the Executive Assistant to the Executive Office position is $60,000 on an annualized basis, commensurate with experience and qualifications. This is a full-time, exempt position, that may require work on weekends.
Travel: The Executive Assistant to the Executive Office position may require travel, which could be up to 15% of the time.
