The Opportunity: The Operations Assistant is the essential frontline and "back-of-house" engine that keeps the WisDems Headquarters running. Reporting to the Operations & Logistics Manager, you will serve as the first point of contact for our office, managing the main phone system and greeting all visitors with a professional, customer-service mindset. Beyond the front desk, you will handle the physical and tactical details that allow our political staff to focus on their work. This is an active, hands-on role involving mail processing, inventory management, travel coordination, and facilities support. You are the guardian of the office environment, ensuring that from the main phone line to the supply closet, everything is organized, stocked, and ready for action.

Job Responsibilities:
Logistics & Facilities Support:
- Maintain the physical organization of the Madison and Milwaukee HQ, including supply closets, storage areas, and common spaces. Ensure the office is clean, stocked, and professional.
- Serve as the primary point of contact for the Madison office front desk and main phone line, ensuring a professional, welcoming, and responsive experience for all callers and visitors.
- Manage inventory tracking for office supplies, swag, and tech hardware, placing orders proactively to prevent shortages.
- Support office "Onboarding/Offboarding" logistics, including preparing desks, key fobs, and parking passes for new staff.
Mail & Intake Operations:
- Own the daily retrieval, sorting, and processing of inbound WisDems mail.
- Collaborate with the Compliance and Finance teams to ensure checks, invoices, and legal documents are logged and distributed immediately and accurately.
- Manage outbound shipping and mailing projects, including stuffing envelopes and coordinating with couriers.
Event & General Support:
- Assist with the physical load-in and load-out for large events (like the State Convention), ensuring materials arrive on time.
- Monitor the organization’s general info email inbox, triaging inquiries to the correct department with a customer-service mindset.
- Serve as the primary point of contact for the Madison office front desk and main phone line, ensuring a professional, welcoming, and responsive experience for all callers and visitors.
- Complete ad-hoc administrative projects as assigned by the Operations & Logistics Manager.
Required Qualifications:
- Strong organizational skills and attention to detail.
- Proficiency with Google Workspace (Gmail, Sheets, Docs).
- A customer-service mindset and ability to communicate clearly with diverse audiences.
Preferred Qualifications:
- Previous experience in administrative support, office management, or shipping/receiving.
- Experience working in a fast-paced campaign or non-profit environment.
