Salary Band: $62,000 - $78,000
Reports to: Operations Director (directly) and the Chief Operating Officer (indirectly)

Job Description:
The Operations Manager & Executive Assistant (to the COO) is in charge of providing administrative services to the Chief Operating Officer as well as operational oversight to statewide regional offices, as well as providing direct oversight to all Central Florida offices. The Operations Manager & Executive Assistant will take the lead in directing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency, and directly supporting day-to-day needs as defined by the Operations Director. This position reports directly to the Operations Director, with indirect reporting to the Chief Operating Officer.
Key Responsibilities:
- Serve as the point of contact for maintenance, mailing, shipping supplies, equipment, and errands, as well as general assistance to visitors.
- Monitor emails and draft correspondence on behalf of the Central Florida offices and Operations team.
- Manage the Central Florida office calendars to coordinate the use of common areas, equipment, and virtual platforms.
- Oversee organizational email, intranet, Ops/IT projects, research new systems and equipment, manage and plan large events, system training, event completion, support and backup for department staff.
- Supervise the planning and execution of organizational and strategic campaign events, including budgets, logistics, and expenses, and collaborate with accounts payable.
- Maintain a clean and organized office environment, as well as manage vendor relationships and inventory.
- Assist the COO with calendar management, administrative tasks, memos, agendas, minutes, travel arrangements, meetings, filing, and other duties as assigned.
- Oversee special project management for all regions, reporting on progress and results to the Operations Director and preparing presentations as needed.
- Report any updates or pertinent issues that need addressing to the Operations Director and suggest changes to office task workflow in order to improve efficiency.
- Performs related work as required and other duties as assigned.
Qualifications and Experience:
- The ideal candidate is highly organized and detail oriented with a high level of training and expertise in office procedures, clerical duties and interpersonal skills.
- The ideal candidate has 2-3 years of proven office management, administrative or assistant experience.
- Advanced knowledge of Google Calendar, G-Suite, and other miscellaneous data bases as required.
- The individual must share a commitment to the organization's mission and values.
- Excellent organizational and time management skills to meet deadlines.
- Self-motivated, ability to take initiative and ability to manage multiple projects.
- Excellent written and verbal communication skills; ability to prepare effective correspondence with regards to routine matters.
- Ability to maintain the utmost level of confidentiality.
- Ability to work independently, yet collaboratively, according to goals of the organization.
- Ability to interact with an understanding of persons of various social, cultural, economic, and educational backgrounds.
- Fluency in English is required; capacity in Spanish or Haitian Creole is beneficial
- Reliable means of transportation
