The International Brotherhood of Teamsters (IBT) is seeking an Administrative Coordinator to work in the union’s Training and Grants Department.
The International Brotherhood of Teamsters union is the largest and most diverse union in the country with over 1.3 million members. Position Description
Under the general supervision of the Director, Assistant Director, Associate Director, Department Manager, Office Manager, Training & Grants Department, or designee, the Administrative Coordinator performs various administrative duties that require knowledge of office routines and procedures, and an understanding of the Training and Grants Department’s programs and projects.
This position’s day-to-day work will likely include some combination of the activities below:
- Types and creates Department correspondence, memos, letters, meeting notes, emails, emails and letters with mail merge, etc. using Microsoft Office with proficiency.
- Proofreads and edits Department correspondence for proper format, spelling, and grammar, sentence structure, paragraph comprehension, and content in detail.
- Designs and creates labels, announcements, flyers, and name badges for IBT Department programs and presentations, as required.
- Assists in maintaining and updating Department database with registration information for IBT Training and Grants Department programs, presentations, and Teamster Leadership Academies.
- Assists with and coordinates Department events as required.
- Photocopies Department materials, as requested in collaboration with Shipping, Reproduction, and Warehouse Departments.
- Handles Department telephone calls; routes to appropriate individual or takes messages when required.
- Receives, reviews and distributes incoming Department mail. Routes to appropriate individuals.
- Processes Department purchase orders for Training and Grants.
- Organizes and maintains Department files.
- Responds to routine inquiries for information or materials in a timely manner.
- Conducts tours of the International Union Headquarters, as requested.
- Inventories, orders and stocks Department publications and supplies as needed.
- Coordinates, prepares, collates, and ships materials for Department programs & presentations in a prompt and timely manner.
- Assists with departmental needs during special events, meetings and programs, when required.
- Provides assistance and direction for Teamster leaders attending education seminars, if required.
- Adheres to all Department and organizational policies and procedures.
- Performs all duties and responsibilities as related to the position and assigned by the Director, Assistant Director, Associate Director, Department Manager, Office Manager, Training & Grants Department, or designee.
The position is based in Washington, DC. Candidates must be available to work in-person full-time at our DC headquarters.
Experience and Qualifications
Successful applicants will have the experience and qualifications listed below:
- High School diploma or equivalent required.
- One to three years’ secretarial/administrative experience required.
- Demonstrated ability to use a personal computer. Knowledgeable in MS Office Suite products (Word, Excel, PowerPoint) required.
- Ability to type 40 wpm required.
- Demonstrated ability to deliver excellence in Member Service.
- Demonstrated ability with word processing and database management.
- Ability to manage several projects at one time.
- Demonstrated ability to use the Internet and email procedures.
- Knowledge of the structure and function of labor unions preferred.
- Ability to sit and stand for extended periods of time.
- Strong organizational and data retrieval skills, ability to meet strict deadlines.
- Ability to pay close attention to detail.
- Demonstrated strong verbal and written communication skills.
- Ability to lift a minimum of 30 pounds, including boxes and heavy stacks of materials.
- Ability to travel, as required.
Salary and Benefits
The salary range for this position is $58,917.00 to $69,402.00. The IBT offers a robust benefits package including a 100% employer-paid health and welfare plan, vacation and sick leave, pension, FICA reimbursement, and 401(k) option.
The Teamsters headquarters building offers all employees access to a subsidized cafeteria, two onsite gyms, and protected bike parking. The building is only a 10-minute walk from Union Station in Washington, DC. Personal vehicle parking is not provided but paid garages are nearby.
