The International Brotherhood of Teamsters (IBT) is seeking a Telephone Receptionist to work in the union’s Affiliates and Automated Records Department.

Position Description

Under the general supervision of the Director, Affiliates & Automated Records Department, and/or designee, the Telephone Receptionist plans and organizes the activities of the cordless central office switchboard to ensure the optimum level of department efficiency is obtained.

The position is based in Washington, DC. Candidates must be available to work in-person, full-time at DC headquarters.

This position’s day-to-day work will include the activities below:

  • Answers all incoming calls, using proper telephone etiquette.
  • Receives and distributes all messages to proper individuals.
  • Keeps a log of all phone coverage within the building to ensure calls are transferred to proper area, as assigned.
  • Receives messages for various departments during breaks and meetings.
  • Reports all equipment problems to Director, in a timely manner.
  • Keeps personal IBT directory and IBT Roster up to date.
  • Serves as back up to receive mail for the General President/General Secretary-Treasurer’s Office and other offices under the jurisdiction of the General President; separates, date stamps, and forwards to the appropriate office.
  • Researches computer database to determine if there is any related past correspondence, when requested.
  • Responds to telephone and written requests by searching computer data file system to locate and forward pertinent correspondence.
  • Reviews Department files and administrative files; determines appropriate index and sets up files.
  • Enters Department files into computer database; cross references and modifies data, as need arises.
  • Researches agreement and supplemental computer database during contract negotiations, as requested.
  • Assists in organizing meeting appeals and decision files, modifies in computer database, as needed.
  • Prepares and processes documents that are to be scanned or for others to place in storage.
  • Assists in indexing of files – general correspondence.
  • Inventories, orders, and stocks department supplies.
  • Adheres to all department and organization policies and procedures.
  • Performs all other duties and responsibilities as assigned by the Director, Affiliates & Automated Records Department or designee.

Education

  • High School diploma or equivalent required.
  • Ability to speak Spanish preferred.

Experience and Qualifications

  • One to three years of customer service or office experience required.
  • Ability to type 35 WPM required.
  • Strong grammar, proofreading, and analytical skills required.
  • Knowledge of date stamp, personal computer, and computerized record-keeping system preferred.
  • Ability to speak clearly, using proper grammar and enunciation.
  • Excellent organizational and data retrieval skills.
  • Excellent attendance record required.
  • Ability to ensure confidentiality in all areas.
  • Demonstrated effective verbal and written communications skills.
  • Demonstrated emotional maturity to function in stressful situations.
  • Acts independently, recognizes a problem and follow through to resolution.
  • Performs the duties of the position with minimal supervision.
  • Ability to lift 30 pounds.
  • Ability to sit for extended periods of time.

Salary and Benefits

The salary range for this position is $58,917.00 to $62,533.00. The IBT offers a robust benefits package including a 100% employer-paid health and welfare plan, vacation and sick leave, pension, FICA reimbursement, and 401(k) option.

The Teamsters headquarters building offers all employees access to a subsidized cafeteria, onsite gym, and protected bike parking. The building is only a 10-minute walk from Union Station in Washington, DC. Personal vehicle parking is not provided but paid garages are nearby.
