Fundamental is seeking an associate to serve as an integral member of the operations team supporting the Director of Operations and Grants Management (DO&GM) and firm at large. This role holds multiple responsibilities that relate to office facilities, IT services, financial reporting, and human resources. The Operations Associate supports the DO&GM’s operational strategies and vision by executing on transactional processes, data inputting, organization and preparation of documents, files, materials, and firm-wide communications follow up. The associate will ensure the Operations team is functioning at its most efficient, in a proactive nature, and is being responsive to team needs.
This role’s duties will include, but not be limited to:
Facilities/Office Support and Coordination
Collaborating with and assisting DO&GM in drafting, developing and communicating facility policies.
Assisting with safety and security needs and efforts.
Maintaining office equipment inventory and understanding maintenance service requirements; evaluating and maintaining operations of office equipment, including ensuring preventative maintenance, troubleshooting malfunctions, calling for repairs.
Streamlining office procedures and processes to ensure efficiency of time and resources.
Vendors
Tracking and monitoring contracting agreements and engagements. Providing updates to DO&GM on timelines and outstanding issues.
Sourcing and vetting vendors and memberships to ensure alignment with company and client values.
Financial Processing Coordination
Reconciling receipts and financial statements to aid in the preparation of annual budgets and monthly/quarterly reports.
Developing and maintaining financial dashboards and reporting.
Assisting with annual budgeting processes for firm and clients.
Performing basic accounting functions.
IT Support and Coordination
Researching and testing new IT systems and tools; assisting with rollouts and training for team.
Serving as internal point of contact for staff for hardware and software needs.
Maintaining hardware and software inventories.
Providing basic troubleshooting and assisting with equipment setup.
HR Support
Collaborating with the DO&GM to draft, develop and communicate:
Employee Handbook updates
On-Boarding Manual updates
Recruitment Manual updates
Performance Management system updates
Job descriptions for new or prospective hires.
Assisting with recruitment efforts including scheduling of candidates and follow-up communications on behalf of the DO&GM.
Other duties as assigned.
Experience and Desired Skills:
2-4 years’ experience working in a fast-paced office environment; prior history working with foundations, non-profit organizations, political campaigns or social change organizations a plus.
A bachelor’s degree in business administration, accounting, or a related field of study a plus.
Excellent coordination and organization skills. Exceptional attention to detail and demonstrated ability to prioritize large numbers of tasks efficiently and effectively.
Proven ability to deliver results and meet deadlines as part of a fast-paced office environment.
Good interpersonal communication (verbal and written). Natural ability to communicate openly to collaborate effectively.
Strong data entry skills, systems proficiency, and comfort.
Proficient with Microsoft 365 applications (Outlook, Word, Excel), Dropbox, Slack, Adobe Acrobat, Zoom, Miro, Notion and Salesforce; comfortable working on a Mac; knowledge of Adobe Creative Suite, Squarespace, WordPress, and Mailchimp software a plus.

Fundamental is currently working via a hybrid model (three days in office, two remote), and we have a ** preference** to have a candidate who lives in the Los Angeles area where our office is based.
Salary is commensurate with experience. The salary range for this position is $60,000-$70,000. This is a full-time, non-exempt position. A generous compensation package includes medical, dental and vision plans, a 401k plan, paid vacation, sick days and more.
