JOB DESCRIPTION

THE ROLE

As a key member of Stand’s National Outreach and Engagement team (OE), you will provide administrative support to ensure staff can reach maximum efficiency and impact in our work supporting Stand Affiliates and Programs. You will be responsible for managing senior staff calendars, overseeing project management systems, and performing a range of administrative duties that ensure the effective delivery of our services to stakeholders across the organization. This position reports to the ** Chief of Organizing and Elections** and is** remote**.

RESPONSIBILITIES:

Project Management Support

  • Create, maintain, and manage project trackers used by the department to manage projects, timelines, and deliverables.

  • Communicate with the OE team and other relevant stakeholders about upcoming project deadlines or needs.

  • Utilize project management tools such as Asana and Teams Planner.

  • Support with all administrative work associated with the acquisition of vendors or short-term contractors utilized for projects.

Scheduling and Management

  • Schedule meetings and manage calendars for weekly/monthly (OE) calls, Executive Director (ED) Hub calls, Program Director calls, and other calls for senior OE department staff.

  • Compile notes and wrap-ups from OE, ED, and other department team calls, share notes with attendees in a timely manner, update project trackers based on meeting outcomes, and schedule any needed follow-up meetings.

Affiliate and Cohort Support

  • Manage and maintain monthly/quarterly cohort call learning opportunities.

  • Maintain and manage Digital Assets Management (DAM) systems and other file-sharing systems to ensure creative content can be easily located and accessed across the organization.

  • Manage and maintain all administrative work associated with the launch and execution of state affiliate Fellowship programs. This may include, but is not limited to, updating yearly application documents, tracking and acquiring executed application forms, and managing the monthly payment of Fellows in collaboration with state affiliates and the Finance team.

QUALIFICATIONS

  • Passionate commitment to Stand for Children's mission of educational success and social progress.

  • 3+ years of office management, administrative management, or project management experience.

  • A passion for continuous learning and presenting innovative ideas and strategies to maximize efficiency.

  • Experience with Google suite, Microsoft suite, and Asana project management products.

  • Exceptional relationship building skills and the ability to leverage these to influence outcomes.

  • Robust project management skills, including experience managing cross-functional projects in a distributed environment.

  • Communication skills: ability to communicate verbally (face-to-face and via phone) and effective written communications (e.g., e-mail).

  • Ability to adapt in a fast-paced, distributed work environment, and a strong sense of urgency.

  • Strong learning orientation and an ability to seek, embrace, and incorporate direct feedback from manager and team members.
