JOB DESCRIPTION

The Office of New York State Senator Brian Kavanagh seeks a Scheduler to join our team. Senator Kavanagh chairs the Committee on Housing, Construction, and Community Development and leads an ambitious and progressive legislative and policy portfolio focused on housing, environmental sustainability, energy, and gun violence prevention, as well as various issues related to effectively representing 320,000 constituents in Lower Manhattan.

The Scheduler plays a key role in managing the Senator and staff’s day-to-day schedules and overseeing all incoming meeting requests and invitations – helping to keep the office running smoothly behind the scenes. This is a fast-paced role, ideal for someone who’s detail-oriented, proactive, and interested in building a career in public service. This position is based in Lower Manhattan with potential travel to Albany as needed. The Scheduler can expect to work remotely one day per week.

Primary Responsibilities:

  • Manage the calendar for the Senator and staff, including meetings, events, and responding to all scheduling requests.

  • Work closely with the Senator and team to evaluate scheduling priorities and make recommendations on the most effective use of time.

  • Coordinate with internal and external partners to gather information for scheduling decisions.

  • Ensure briefing materials and background info are prepared and shared with the right team members in advance.

  • Communicate professionally and respectfully with a wide range of people, including constituents, community organizations, advocates, lobbyists, and government officials.

  • Respond to a high volume of calls, emails, and scheduling inquiries in a timely and courteous way.

  • Stay responsive to shifting priorities and adjust the schedule as needed throughout the day.

  • Staff meetings and events as needed.

  • Work flexible hours including evenings and weekends.

  • Work closely with all teams in the office, as well as the Chief of Staff, to support overall office operations and administration as needed.

Required Qualifications:

  • Excellent written and verbal communication skills.

  • Strong interpersonal skills, including the ability to work with staff and external partners at all levels.

  • A collaborative mindset with the ability to take initiative and work independently.

  • Strong organizational skills and attention to detail.

  • Adaptability and grace under pressure with the ability to juggle multiple tasks and shifting priorities.

  • Strong time-management and follow-through.

  • Comfortable interacting with diverse communities and stakeholders in a public-facing role.

  • Good judgement and sense of when to ask for input or escalate an issue.

  • Commitment to public service and enthusiasm for supporting the work of Senator Kavanagh and the constituents of District 27.

  • Ability to use Microsoft and Google platforms.

Preferred Qualifications:

  • Previous experience in scheduling or office administration, preferably within a government or public policy advocacy setting .

  • Proficiency in Spanish or Chinese.

  • Familiarity with New York government and the neighborhoods, issues, and communities within District 27 (Lower Manhattan).
