JOB DESCRIPTION

Rock the Vote seeks a Managing Director. This position is part of the Rock the Vote senior executive team and reports to the President. While Rock the Vote is an entirely virtual organization, this is a geography specific position requiring candidates to live in or be willing to relocate to the Washington, DC area (1-2 hours from DC.)

The Managing Director is responsible for high-level oversight of program and management of finance and operations at Rock the Vote, ensuring that teams have clear processes in place for planning, communications, and workflow, and maintaining Rock the Vote’s operational infrastructure and day-to-day operations.

The Managing Director will play a critical role as a member of Rock the Vote’s senior executive team in strategic decision-making as Rock the Vote continues to enhance its quality programming, build capacity, and grow. Additionally, they will be responsible for contributing to the leadership and culture of the organization, working closely with senior leadership and the President to guide the organization and ensure the collaboration and cooperation between departments.

Candidates must be eager to work in a fast-paced, campaign-like environment and able to balance and prioritize competing priorities. Must be able to periodically work long, irregular hours. This position requires an individual who can serve as a thought leader in the organization and a hands-on partner to the President.

Responsibilities:

Program:

  • Collaborate with and provide high-level strategic advice to the President on program development, including long-term strategy and growth, targeting, and opportunities.

  • Facilitate full collaboration between programs and with other departments in the organization, proactively identifying and resolving pain points.

  • Oversee Civic Technology and Data team, Campaigns and Partnerships team, and Communications team. Ensure program plans are set and deadlines are met, and hold the teams accountable to a high standard of performance.

  • Represent Rock the Vote in conversations with funders, partners,and other stakeholders, in media and on panels as needed.

  • Support other Rock the Vote and Rock the Vote Action Fund projects and activities as needed.

Executive Operations:

  • Assist with Board management, including Board meeting preparation, Board relations, communications, and engagement.

  • Assist with development of the annual budget for 501(c)3 and 501(c)4 arms of the organization.

  • Responsible for review and maintenance of monthly financials in partnership with Rock the Vote’s accounting firm.

  • Oversee that all bills are paid in a timely manner and track money in and money out to ensure organizational financial health and adherence to budget.

  • Development of contracts and invoices for accounts receivable.

  • Manage the annual audit on behalf of the organization.

  • Manage the internal Human Resources for the organization in partnership with HR consultants. This includes the recruitment of new staff and managing the hiring and onboarding process, as well as developing and maintaining an annual review process, timesheet and payroll processes, and retirement account contributions.

  • Develop and maintain systems to organize critical organizational documents per law, bylaws, and for organizational continuity.

  • Work with the development consultants to track and report grant financials.

  • Negotiate, review, and track all contracts and contractors to ensure compliance.

  • Maintenance of appropriate business insurance, leases, state compliance, taxes, licensure, and charity registrations.

  • Management of physical office, storage, and ensure staff have what they need to be successful.

  • Oversee administrative staff and the following consultants: accounting firm, HR firm, legal, and accounts payable.

  • Oversee organizational development and culture.

Requirements:

  • 10-12 years of non-profit and/or political campaign experience, including significant and high-level management experience.

  • Understanding of 501c3 and 501c4 appropriate activities.

  • Familiarity with technology solutions, both from a program perspective and for internal project management. Experience with Asana, a plus.

  • Ability to serve as a counselor to the President on all matters relating to Rock the Vote’s Programs and finance/operations.

  • Experience creating and managing multi-million dollar budgets.

  • Experience managing both staff and consultants.

  • Proven and highly effective written and oral communication skills, with an ability to distill complex information into easy-to-understand messages under pressure.

  • Ability to communicate strategy and direction to staff and effectively delegate to reach goals and milestones.

  • Ability to work independently, with a commitment to open and honest communication.

  • Experience coaching and mentoring staff.

  • Adaptability and ability to work with and manage relationships with different personalities.

  • Strong attention to detail and ability to manage multiple deadlines.

  • Experience creating and implementing sustainable systems.

  • Commitment to working collaboratively and in partnership with organizational leaders.

  • This position may require some travel.
