Overview

We are seeking a highly organized, detail-oriented, and personable Senior Fundraising Associate to support the financial and operational needs of our organization. Reporting directly to our finance director, this role is essential in maintaining organizational financial systems, facilitating donor stewardship, monitoring accounts, and ensuring smooth day-to-day operations. The Senior Fundraising Associate will also assist with logistics such as travel booking and email management for the finance department, contributing to the organization’s strategic goals while fostering efficiency and accuracy across tasks. This role reports to the Fundraising Director.

Responsibilities

Finance Maintenance and Operations

  • Track and manage Check and ACH contributions, ensuring accurate record-keeping.
  • Maintain and update financial data in NGP, ensuring records are consistently accurate and up-to-date.
  • Manage source coding for PAC, administrative, and independent expenditure (IE) activities for transparent tracking and compliance.

Prospecting and Donor Research

  • Conduct detailed donor research to analyze giving histories and identify new prospects for engagement.
  • Prepare comprehensive donor briefs for leadership to support meaningful outreach and solicitation efforts.
  • Generate and analyze targeted donor lists based on criteria such as giving capacity, geographic location, and prior contributions.

Event Support

  • Assist in the planning and execution of fundraising events, including logistics coordination, donor outreach, and post-event follow-ups.
  • Staff events in a professional and engaging manner, providing on-the-ground support for event activities such as check-ins, donor interaction, and troubleshooting.
  • Collaborate with team members to ensure events align with fundraising goals and leave a lasting positive impression on attendees.

Stewardship

  • Write and send thank-you cards and emails to donors to acknowledge contributions and strengthen relationships.
  • Execute on systems to track donor follow-ups, ensuring timely and thoughtful engagement with supporters.
  • Execute stewardship plans for high-value donors, focusing on long-term relationship building.

Donor Communication and Call Time Support

  • Work with the Fundraising Director to organize and manage call time for staff, including scheduling, tracking progress, and preparing briefing materials.
  • Draft and send follow-up emails to donors after meetings or calls, ensuring continuity in communication.
  • Support donor engagement by preparing talking points, templates, and personalized outreach materials.

Administrative Support

  • Book travel arrangements for fundraising staff, ensuring seamless itineraries and adherence to budgets.
  • Monitor shared email accounts for incoming inquiries and requests, responding or redirecting as needed.
  • Assist with day-to-day administrative tasks to support the finance and fundraising teams.

Qualifications

  • 2+ years experience in fundraising, nonprofit management, business administration, or a related field.
  • Experience with financial management, donor tracking systems, and operational support; familiarity with NGP is preferred.
  • Strong organizational and time management skills, with the ability to handle multiple priorities and meet deadlines.
  • Exceptional attention to detail, particularly in financial tracking, record-keeping, and donor communications.
  • Excellent written and verbal communication skills.
  • Comfortable engaging with donors, stakeholders, and team members in professional settings, including at events.
  • Ability to work collaboratively in a fast-paced, team-oriented environment.

This role is ideal for a self-motivated and detail-oriented professional who excels in managing financial systems, operational logistics, and donor relationships. The Senior Fundraising Associate will play a critical role in supporting the organization’s financial health and operational success.

Salary & Benefits:
