Overview

The National Urban League seeks an experienced, organized, and proactive Manager, Operations in the Urban Civil Rights Museum in Harlem. The Manager, Operations supports the executive director with a range of logistics and to ensure that the internal business of the museum runs smoothly. Key responsibilities include the management of calendars, museum accounts, budgets, tracking and reconciling expenditures, and general oversight of museum facilities and operations. Additionally, they are responsible for managing daily business operations, ordering supplies and equipment, arranging weekly meetings, organizing staff schedules, and maintaining all internal systems. They manage purchases, vendor contracts, record-keeping systems, staff manuals, and are knowledgeable of best operating practices. They will serve as liaison to the museum shop and café, managing any museum-related merchandise and business services. They will coordinate closely with cashiers and visitor services staff for ticketing, membership, and other business-related services.

Responsibilities

Essential Functions:

  • Schedule and organize all regular virtual and in-person meetings, check-ins, and cross-division meetings. Take notes for distribution. Track staff schedules.
  • Track and reconcile all museum budgets and expenditures. Ensure all invoices are processed on time.
  • Monitor the status and progress of all contracts, ensuring timely tracking and follow-up.
  • Develop and maintain centralized tracking tools.
  • Attend funder meetings as requested and document through notetaking, follow-up items, and action steps.
  • Track progress of grants, assist with timely reporting, support the refinement of grant applications, including some writing and editing, and anticipate next steps.
  • Purchase all needed supplies and equipment and organize any needed repairs of internal office equipment.
  • Work closely with the curatorial, education, visitor services, IT, and facilities departments to ensure that museums systems are running smoothly.
  • Support the maintenance and updating of standard museum operating procedures and internal guidance documents and policies for the division.
  • Serve as business point person for third-party café/store operations and for merchandising.
  • Distribute all general museum communications and inquiries to relevant personnel.

Qualifications

Education

  • Bachelor’s degree preferred. Relevant skills required.
  • Master’s Degree is preferred in Public Administration, Nonprofit Management, Policy, Museum Studies, Communications, or a related field.

Experience:

  • Minimum of 2–4 years of relevant professional experience in nonprofit program operations, grants administration, accounting, business administration, or a similar capacity.
  • Experience collaborating with across interdisciplinary divisions.
  • Experience working in museums or with arts and cultural institutions

Knowledge & Skills:

  • Strong organizational and project management skills with exceptional attention to detail.
  • Proficient in Microsoft Office Suite, especially Excel and SharePoint; experience with grant tracking software a plus.
  • Ability to work independently, manage multiple priorities, and meet tight deadlines.
  • Strong written and verbal communication skills.
  • Collaborative team player with a proactive, solutions-oriented mindset.
  • Must demonstrate maturity, professionalism, integrity, accountability, and solid judgment.
  • Knowledge of African American history, arts, and culture and/or familiarity with Harlem and local neighborhoods is beneficial but not required.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to stand, stoop, bend, sit and climb for extended periods of time to move chairs and tables and set up programming spaces.

Working Conditions:

  • May require working nights and weekends as needed.
  • Hybrid office schedule
