Job Summary:

Performs secretarial work of average difficulty and involves some independent judgment. Also performs general functions and related work as required. Work is performed under the general supervision of the Executive Vice President. Must be well organized and possess outstanding secretarial skills.

REPORTS TO Executive Vice President

Job Functions:

  • Screens visitors, telephone calls and directs mail to the correct officer or department head.
  • Types disciplinary letters, statements, minutes and agendas from dictated, handwritten or other
  • Prepare documents and emails as requested by officer(s) or department head.
  • Answers the phone, provides and receives information concerning matters related to the division or department.
  • Schedules appointments and maintains calendar for the officer or department head.
  • Opens, sorts and distributes incoming mail and prepares outgoing mail.
  • Organizes and maintains a variety of files and records.
  • Moderate hearing and appeals meeting in person or virtual meetings held by Teams, Zoom or other virtual platforms.
  • Maintain office files using SharePoint/OneDrive.
  • Arrange for meetings and conferences.
  • Sorts and distributes incoming mail and prepare outgoing mail.
  • Coordinates some office functions with other divisions and departments.
  • Ability to cover for Administrative Assistant in the Baltimore headquarters when necessary.
  • Perform all other duties as assigned.

Qualifications:

- High school diploma or its equivalent; At least 2 to 5 years of secretarial experience.
- Bilingual a plus
- Strong computer skills with proficiency in Word, Excel, Email, and Microsoft Teams.
- Typing skills of 70 words per minute.
- Ability to maintain a good working relationship with all co-workers, members, and the public.
- Ability to organize work assignments.
- Ability to work independently and carry out assignments to completion with minimum instructions.
- Excellent spelling, grammar and vocabulary with good verbal and written communication skills.
- Ability to maintain a good working relationship with all coworkers, members and the public.
- Ability to work long hours, including evenings and weekends.
