Position: Schedule & Operations Coordinator
Reports to: Finance Director, VoteVets Action Fund
Location: Remote; within Washington, DC Metropolitan Area
Status: Full-time, exempt
Salary: $70,000

About VoteVets Action Fund

VoteVets Action Fund is a 501(c)(4) nonprofit, whose primary purpose is to advocate for issues impacting troops, veterans, and their families. VoteVets Action Fund (VVAF) focuses on matters including, but not limited to, foreign policy (including war-making policy), veterans’ unemployment, robust investment in care for veterans, energy security, protecting the rights of those who serve, and upholding the Constitution and democracy.

About the Position

VVAF seeks a highly organized, detail-oriented Scheduler & Operations Coordinator to support the Development Director, and core operations of a fast-moving national organization. This role is central to keeping the organization running smoothly and effectively. The ideal candidate is proactive, discreet, systems-minded, and comfortable juggling multiple priorities in a mission-driven environment.

This role blends scheduling, donor administration, and general organizational coordination. It is well suited to someone who enjoys building order, maintaining systems, and being a trusted operational partner to senior leadership.

Key Responsibilities:

Scheduling Support

  • Manage the Organization Calendar, including scheduling meetings, calls, travel, and events, for VVAF principals.
  • Coordinate logistics for internal meetings, donor meetings, and external briefings.
  • Prepare meeting materials, agendas, and follow-up notes as needed.
  • Serve as a point of contact for internal and external stakeholders.

Donor Tracking & Development Support

  • Assist Development Director with maintaining donor and prospect records in the organization’s CRM and tracking systems.
  • Track donations, pledges, acknowledgments, and follow-up actions.
  • Support donor communications, acknowledgments, and stewardship efforts
  • Assist with preparation of donor materials and reports

Administrative & Operations Support

  • Maintain organized digital filing systems and shared documents.
  • Support basic financial administration tasks, such as reimbursements for principals.
  • Assist with event planning, including logistics, preparation, and staffing.
  • Provide ad hoc administrative support to ensure smooth day-to-day functioning.

Qualifications & Skills

  • Exceptional attention to detail and strong organizational skills.
  • Proven ability to manage multiple priorities and deadlines independently.
  • Strong written and verbal communication skills.
  • Comfort handling sensitive information with discretion and professionalism.
  • Experience with scheduling, CRM systems, spreadsheets, and document management tools.
  • Prior experience in nonprofit, advocacy, political, or mission-driven organizations is a plus.
  • Self-starter mindset with a calm, solutions-oriented approach.
