JOB SUMMARY
We're looking for a Senior Operations Manager to support the HR and finance work that keeps our organization running effectively. This person manages processes and programs across the employee lifecycle and keeps our records and reporting clear and organized to ensure our team has the resources and support needed to stay focused and effective in advancing our mission.
This role reports to the Director of People Operations. It is a cycle position with an expected end date of January 29, 2027 and the possibility of extension.
Responsibilities include:
People and HR Operations

Manage hiring, onboarding, and offboarding logistics and execution

Help administer performance review cycles, engagement surveys, and staff training

Help develop and maintain systems and processes that support the people function
-
Support initiatives that strengthen team culture and effectiveness
-
Manage the operational and logistical side of benefits administration (health benefits, stipends, 401k), including enrollment logistics for new hires and open enrollment
-
Help develop, implement, and manage HR policies and programs in compliance with federal and multi-state employment laws and internal policies, updating systems and documentation as needed
-
Help keep shared internal resources organized and up to date (e.g., Slack channels, shared drives, internal wikis)
Financial and Administrative Operations

Support the operations team in managing financial processes, vendor relationships, and day-to-day organizational administration

Manage invoice tracking and processing, and maintain accurate vendor and contract records

Support expense and reimbursement tracking and processing in partnership with accounting and the Head of Operations

Maintain budget trackers, forecasts, and reports; model budget scenarios and help answer questions to ensure leadership has fast, reliable access to budget information for decision-making

Support the intake, tracking, and follow up for legal reviews in partnership with counsel and the Head of Operations

Manage contractor onboarding, including documentation collection and data entry

Support the implementation and management of IT/cybersecurity initiatives

Help coordinate logistics for in-person team meetings, including venue, travel, vendor, and agenda coordination

Help maintain and follow internal operational procedures and documentation, flagging improvement opportunities

Track deadlines for recurring reporting and internal processes
REQUIREMENTS
-
A strong interest in and alignment with the distinct missions and values of Swing Left and Vote Forward
-
4+ years of experience in Operations, including direct experience in HR functions such as onboarding/offboarding, benefits administration, compensation programs, and performance management, as well as experience supporting budget or financial reporting work

Strong spreadsheet skills (e.g., pivot tables, formulas, financial modeling), with the ability to translate complex budget information into materials that are clear and easy for others to inform decision making

Familiarity with tracking and managing work using project management software (e.g., Asana) in addition to day-to-day collaboration tools, including Google Suite, Zoom, and Slack

Familiarity with HRIS, ATS (application tracking system), benefits administration platforms, and expense/invoicing systems

Excellent organizational skills and attention to detail, with experience managing multiple processes and deadlines simultaneously

Strong written and verbal communication skills

Strong interpersonal skills, with the ability to build trust across the organization, communicate with empathy, and exercise sound judgment in sensitive situations

Experience handling sensitive or confidential information with discretion

Demonstrated ability to work independent and collaborate with colleagues effectively in a remote office environment

LOGISTICS

Compensation:
- The pay range for this position is $91,000 - $102,000/year

Our office is closed for approximately 25 business days each year, including two weeks at the end of the year
Location and Working Hours:

This position is a full-time, exempt, and remote position based in the United States. We are an entirely remote team with staff located across the country

We expect employees to be available for virtual meetings and asynchronous collaboration during normal business hours, and sometimes outside of these hours for events or other peak moments

Minimal overnight travel is expected for this position, including for an in-person staff gathering (depending on start date)
