The Executive Assistant will provide administrative support and coordinate financial administration functions of Local 19 under supervision of the Business Manager. Will directly supervise staff of the Membership Maintenance Department. Will interact with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diverse workload. Positive leadership, commitment and attention to detail are essential.

UNITE HERE Local 19 is the union of 8,500 hospitality workers throughout Silicon Valley and Fresno-Yosemite. Our members work in hotels, restaurants, casinos, airports and other food service facilities, providing service to millions of guests every year. Together, we fight to ensure that service workers are treated decently and receive a fair share of the wealth our industry produces.

Job Responsibilities include (but are not limited to):

  • Supervise staff in Membership Maintenance Department.
  • Manage complex dues processing system with fine attention to detail and accuracy.
  • Track and reconcile monies received and payables and prepare weekly payroll.
  • Coordinate compilation of data and develop reports needed internally by the Local, and as required by the International Union, auditors and the government.
  • Coordinate building, computer support and other office equipment maintenance.
  • Assist with travel arrangements and travel approvals.
  • Assist with maintenance of personnel files, making sure all proper documents are included.
  • Track and maintain the status and files of Collective Bargaining Agreements and related documents.
  • Assist with or lead other projects essential to the local, such as overseeing the membership mobilization system, helping prepare for strikes, and coordinating logistics and communication to members for Local elections.
  • Provide typing and other administrative assistance for staff as necessary.
  • Handle confidential and non-routine information with sensitivity.
  • Assist Business Manager with reports to the E-Board.

Job Requirements/Qualifications:

  • Prior equivalent work experience.
  • Proven problem solving and organizational skills, exceptional attention to detail.
  • Proven ability to be flexible and adapt to rapid changes.
  • Experience in database management and report generation along with expertise with Microsoft Power Point, Outlook, Word, and Excel.
  • Mathematical Skills: ability to calculate figures and amounts such as discounts, interest, commissions, proportions. Ability to apply concepts of basic algebra.
  • Excellent verbal and written communication skills.
  • Spanish language skills desired.
  • Exceptional interpersonal and teamwork skills, including proven ability to build a positive team spirit.
  • Capable of multi-tasking in a fast-paced organization.
  • Prior experience with labor unions or community organizations preferred.
  • Willingness to work long hours and be flexible with scheduling.

Salary: $68,000, Commensurate with experience
